Over the years, leading teams and consulting with organizations, I’ve learned that the best way to find these moments isn’t by guessing. It’s by listening to the business.
Operational and performance metrics are storytellers. They quietly reveal where work is wobbling long before anyone raises a hand.
When I walk into a client engagement, I start by asking: Where does the data show friction? Not the big, dramatic failures, those are easy to spot. I’m looking for the subtle patterns: the places where mistakes cluster, where cycle times stretch, where rework quietly eats hours, where customer satisfaction dips at predictable points in the process.
These aren’t just operational issues. They’re learning moments waiting to be designed.
Here’s how you can spot them in your own workday:
Scan error logs or quality reports. Anywhere mistakes repeat, a performance support asset belongs.
Look at cycle-time outliers. When a task takes significantly longer for some people, that’s a learning gap.
Review customer complaints by workflow stage. Complaints often point directly to missing guidance or unclear steps.
Track where handoffs break down. A simple checklist or “before you pass this along” micro‑guide can save hours.
Watch for rework patterns. Rework is one of the clearest indicators that people need support at the moment of action.
Once you identify these friction points, the design becomes much more humane and much more effective. Instead of building a course, maybe you embed a short “How to avoid the top three errors” tip sheet directly inside the tool. Instead of a training session, maybe it’s a quick decision tree that helps someone choose the right option without guessing. Instead of a knowledge base article, maybe it’s a 45‑second video that plays right before the task begins.
Learning belongs where the work is happening, not where we traditionally deliver it.
